Illuminated Hearts Transformational Couple’s Retreat Terms and Conditions

Welcome to the Transformational Couple’s Retreat! By registering for this 3-day event, you (the “Participant” or “Participants,” referring to both partners in the couple) agree to the following Terms and Conditions. Please read them carefully before submitting your registration. Your participation indicates your acceptance of these terms.

1. Retreat Overview

The Transformational Couple’s Retreat is a 3-day immersive experience designed to foster connection, growth, and transformation for couples. Specific schedules, activities, and accommodations will be provided upon registration confirmation.

2. Registration and Payment

  • Registration: Both partners must be registered via the official registration form. Incomplete or inaccurate submissions may delay or void registration.

  • Cost: The total cost of the retreat covers retreat experience, workshops, meals, all retreat materials, spa and therapeutic sessions etc. Additional expenses (e.g., travel, lodging) are the Participants’ responsibility. There may be additional offereings outside of the specific purview of the retreat that you may wish to opt into that may require an additional expense.

  • Payment Options:

    • Upfront: Full payment of is due within 7 days of registration confirmation.

    • Installments: A non-refundable deposit of 25% of the total retreat cost is due within 7 days of registration, with remaining payments of due as per the installment plan that will be arranged between you and the retreat partners. Late payments may result in forfeiture of your spot.

  • Method: Payments are accepted via [e.g., credit/debit card, PayPal, bank transfer, Venmo]. Instructions will be provided upon registration.

  • Confirmation: Your spot is secured only after receipt of initial payment and written confirmation from the retreat organizers.

3. Cancellation Policy

  • Participant Cancellation:

    • 30 days before the retreat: Full refund, minus a $150 non-refundable administrative fee per couple.

    • Less than 30 days before the retreat, forfeiture of 25% of the cost of the retreat per couple.

  • Organizer Cancellation: If the retreat is canceled by the organizers due to unforeseen circumstances (e.g., natural disasters, insufficient enrollment), Participants will receive a full refund or the option to transfer funds to a rescheduled event. No additional compensation will be provided.

  • No-Show: Failure to attend without prior notice forfeits all payments.

4. Retreat Conduct and Safety

  • Civility: Participants agree to treat all attendees, staff, and organizers with respect and courtesy. Disruptive, abusive, or harassing behavior (verbal, physical, or otherwise) may result in immediate removal without refund.

  • Safety:

    • Participants must follow all safety instructions provided by organizers, including those related to activities, venue rules, and emergency procedures.

    • Any pre-existing medical conditions or accessibility needs must be disclosed during registration to ensure proper accommodations. Failure to disclose may limit participation in certain activities.

  • Photography/Video: Participants may be photographed or recorded for promotional or internal use. Opt-out preferences must be indicated during registration.

5. Liability and Assumption of Risk

  • Physical and Emotional Risk: The retreat may include physical activities (e.g., yoga, outdoor exercises) and emotionally intensive workshops. Participants engage at their own risk and should consult a healthcare provider if unsure of their fitness.

  • Release of Liability: The organizers, staff, venue, and affiliates are not liable for any injury, loss, damage, or emotional distress incurred during or as a result of the retreat, except where caused by gross negligence.

  • Personal Property: Participants are responsible for their belongings. Organizers are not liable for lost, stolen, or damaged items.

6. Travel and Accommodation

  • Travel: Participants are responsible for arranging and funding their travel to and from the retreat venue. Arrival and departure details must be provided during registration to coordinate logistics if applicable.

  • Accommodation: On-site lodging will be added to the Participant’s retreat fee. Off-site lodging is at Participants’ expense. Requests for assistance in booking must be made during registration.

  • Transportation: Limited shuttle services may be available if requested in advance. Details will be confirmed post-registration.

7. Health and Dietary Requirements

  • Participants must disclose dietary restrictions and medical conditions during registration. While reasonable efforts will be made to accommodate, organizers cannot guarantee all requests (e.g., severe allergies requiring separate kitchens). Notify us upon registration for dietary changes.

8. Modifications and Force Majeure

  • Organizers reserve the right to modify the retreat schedule, activities, or venue for safety, logistical, or enhancement purposes. Participants will be notified of significant changes.

  • In cases of force majeure (e.g., pandemics, weather events, government restrictions), organizers may cancel or reschedule without liability beyond a refund or credit.

9. Privacy and Data

  • Personal information collected during registration will be used solely for retreat purposes (e.g., communication, logistics) and will not be sold or shared beyond necessary staff. Participants may request data deletion post-event via email request.

10. Governing Law

  • These Terms and Conditions are governed by the laws of Idaho, USA. Disputes will be resolved through mediation or arbitration in Meridian, Idaho before legal action.

11. Agreement

  • By registering, both partners acknowledge they have read, understood, and agree to abide by these Terms and Conditions. Electronic submission of the registration form constitutes a binding agreement.
